What Data do we collect?

We may collect your personal data in a number of different ways. For example, if you call or email us to make an enquiry about our service, or to become a volunteer or make a donation to the charity.

Information we may collect includes name, address, contact details, etc.

Additional data will be collected in relation to families who access direct support from the charity, in accordance with our record keeping policy, to ensure safe and consistent support can be delivered. The details of information storage, consent, confidentiality and safeguarding will be discussed with families when support is agreed.

Due to the nature of our charity’s activities, we hold personal information relating to children and young people when they access direct support. These details are only held with the consent of the child’s parents/guardian. They are kept securely, with access restricted to only those who need it.

We may receive your information from a third party. For example if school or another professional make a referral on your behalf, of if you have consented to online giving platforms to share your data with us. These organisations will have their own privacy policies in place and we are not responsible for their data handling.


How do we collect your data?

Data may be collected in a number of ways. We may collect and process data when:

·       You contact us via our contact page on the website;

·       You email an enquiry to us;

·       You telephone Guy’s Gift to make an enquiry or referral;

·       We meet with you face to face when you’re accessing our services.

·       You give permission to third party (e.g. online giving platforms) to share your personal data with us.


How will we use your data?

We use the personal information you give us only where necessary. For example:

  • to provide you with information about our work and services including events, volunteering opportunities, services, etc.;

  • to communicate about support with families;

  • to process Gift Aid applications;

  • to keep records of your relationship with us. For example; what support we have provided, what enquiries or complaints you have made;

  • reporting purposes;

Your personal information will not be used for marketing purposes and we will never sell your information or share it with other organisations for their marketing purposes. 


How do we store your data?

Guy’s Gift securely stores the data you provide us with on our secure electronic systems within the UK, or in paper format held within locked cabinets. Access to you data is strictly limited to those within the organisation who need to use it for agreed purposes.

We keep your data for varying amounts of time, depending on the purpose for which it was shared with us. The longest time we will keep personal information in our records seven years beyond last contact. This is inline with BACP guidelines.


What are your data protection rights?

Guy’s Gift would like to make sure you are fully aware of all your data protection rights. Every user is entitled to the following:

·       The right to access – you have the right to request Guy’s Gift for copies of your personal data.

·       The right to rectification – you have the right to request that Guy’s Gift correct any information you believe is inaccurate. You also have the right to request Guy’s Gift to complete any information you believe is incomplete.

·       The right to erasure – You have the right to request that Guy’s Gift erase your personal data, under certain conditions.

·       The right to restrict processing – you have the right to request that Guy’s Gift restrict the processing of your data under certain conditions.

·       The right to object to processing – You have the right to object to Guy’s Gift processing your personal data, under certain conditions.

·       The right to data portability – you have the right to request that Guy’s Gift transfer the data we have to another organisation, or directly to you, under certain conditions.
